iProfile (“we” or “us”) respects and upholds your rights to privacy protection in Australia under the Privacy Act 1988 (Cth) and is required to comply with the Australian Privacy Principles in respect of the collection, use, disclosure and handling of personal information. This Privacy Policy details the practices we have adopted to protect your privacy, so that you can feel confident about how we manage the personal information you entrust to us.


Collection of your personal information


How do we collect your personal information?


iProfile collects your personal information in the following ways:


  • from you when you register an iProfile account;
  • when you provide your information to us by filling out and updating your iProfile;
  • when you provide your information by contacting us by email, telephone, facsimile, mail or otherwise;
  • when you use our website;
  • when you subscribe to a newsletter, fill out a form or survey, or enter or participate in any competitions or promotions;
  • when your personal information has already been made publicly available by you, for example, on third party publicly available websites; and
  • from iProfile Compatible Organisations that you have provided your information to when you have used the services of those organisations. An iProfile Compatible Organisation is an organisation or agency that has been granted a licence by iProfile to use its products and services.


From time to time, you may be able to visit our website or deal with us anonymously or by pseudonym. However, we require certain personal information to be able to provide you with the services and information you request. If you do not provide us with certain personal information we request in connection with our activities, we may not be able to provide you with access to those services or respond to your requests.


What types of personal information do we collect?


The types of personal information we may collect from you includes (but is not limited to):


  • names, address, phone numbers, email address and other contact details;
  • employment history, previous job titles and salaries;
  • educational qualifications, certifications and your skills and experiences;
  • government related identifiers, such as tax file numbers and driver’s licence information;
  • details of superannuation and/insurance policy arrangements;
  • financial information (such as bank account or card details); and
  • any photos or videos of yourself that you may upload to your iProfile.

 

With your consent, we may also collect sensitive information, such as:


  • your membership details of a trade union or trade or professional association;
  • information relating to your racial and ethnic origins listed on passport and/or visas; and
  • health information.

 


Why do we collect and how do we use your personal information?


iProfile will collect, hold and use your personal information for the purposes of:


  • creating an iProfile account;
  • assisting you in managing your iProfile;
  • providing you with the information, services and products necessary for your use of iProfile and/or this website;
  • contacting you by e-mail, phone, facsimile or mail from time to time in relation to our services or the services of third parties connected to iProfile;
  • responding to your requests or queries when you contact us by e-mail, phone, facsimile or mail;
  • our internal business and management processes, for example, our accounting or auditing purposes;
  • as required or authorised by law, to allow us to comply with our legal obligations; or
  • for any other purposes that would be reasonably expected by you.

 


Collecting and using information anonymously


iProfile may use data obtained from your personal information to produce market information (e.g. National Pay Rate Benchmarking). Data used in this way will be on an anonymous basis. By agreeing to these terms of use, you are consenting to us using your information in this way.


Cookies


iProfile uses cookies to assist in personalising your experience with our website and services. A cookie is a small text file that is stored on your computer hard disk. We may use cookies to record your preferences in using our website, your IP address for security purposes, to track our website traffic and activity for analysis purposes and to improve our website to meet our customers’ needs. For example, when you return to the same page on our website, the information you previously provided can be retrieved, so that you can more quickly and easily use the iProfile features that you have customised.

Direct Marketing and Promotional Materials

  • for email communications – you can click on the unsubscribe function or follow the unsubscribe instructions provided in the email;

Do we disclose your personal information to third parties?


iProfile may disclose your personal information to:


  • other entities within the iProfile group of companies and/or their affiliates;
  • third party contractors and providers who we may engage to assist us in managing our business, managing your personal information or operating our website (for example, business support services such as document storage or printing companies, or webhosting service providers); and
  • professional service firms providing services to us, such as legal, accounting or auditing services.

 

We do not otherwise share, sell, rent or disclose your personal information to third parties, unless the disclosure is done:


  • with your consent; or
  • for a purpose which you would reasonably expect; or
  • as required or permitted by law; or
  • in accordance with this Privacy Policy.

 

Disclosure to iProfile Compatible Organisations


The information contained in your iProfile may also be made available to other iProfile Compatible Organisations if you have used their services, for example, by previously submitting your information to them. iProfile Compatible Organisations may use your personal information to contact you by e-mail, phone, facsimile or mail from time to time in relation to their services, for example, to contact you in relation to a suggested employment opportunity.


By agreeing to these terms of use, you are consenting to the use and disclosure to such organisations and to receiving such information. However, the personal information held on your iProfile will only be shared amongst iProfile Compatible Organisations to which you have already submitted your details or will submit your details in the future.


Your iProfile will also be made available to third parties who you agree and/or request to share and grant access to, your iProfile.


You acknowledge and consent to iProfile, persons authorised by iProfile and its sub-licensees (including iProfile Compatible Organisations and overseas data processing organisations) using your personal information in any way reasonably required by them to provide you with a recruitment service (and all things incidental to performing this task), including to attribute, alter, amend, aggregate and present information or data that you provide in any way.


Do we disclose your personal information overseas?


We may disclose your personal information to recipients located outside Australia in accordance with the terms of this Privacy Policy. We may store, process or back-up your personal information on servers that are located overseas or use third party service providers located overseas to provide us with services, for example overseas data processing and analytics organisations.


Where we do disclose your personal information to a third party located overseas, these overseas recipients are likely to be located in the countries set out in the Appendix to this Privacy Policy. This list of countries is not exhaustive.


Note that the privacy laws in other countries might not be the same as in Australia. However, where we do provide your personal information to third parties overseas, we will take such steps as are reasonable in the circumstances to ensure that your information is handled and stored in accordance with our privacy laws and the Privacy Policy.


Important Notice


In the event that the processing or use of your personal information involves the disclosure of any information outside Australia, you acknowledge that by providing us with your personal information, you consent to such overseas disclosure. By consenting to such disclosure, you acknowledge and accept that:


  • iProfile will not be accountable under the Privacy Act 1988 for any breach of your privacy by the overseas recipient; and
  • you will not be able to seek redress from iProfile under the Privacy Act 1988 for any breach of your privacy by the overseas recipient.

 


Security


We will take such steps as are reasonable in the circumstances to maintain the security and integrity of your personal information and protect your personal information from:


  • misuse, interference and/or loss; and
  • unauthorised access, modification and/or disclosure.


Some of the security measures we use to protect your personal information includes the use of computer access passwords, lock-up cabinets, personnel policies and firewalls.


Accessing and correcting your personal information


To enable us to keep accurate records and update the information contained in your iProfile, please notify us if you believe that any information we hold about you is inaccurate, incomplete or out of date. You may seek access to, request correction of, or control and restrict access to, the information contained in your iProfile at any time by:


  • clicking here to log into your iProfile;
  • sending us an email at privacy@iprofile.org with your request for access and/or correction; or
  • contacting us through the details and links in the "Contact Us" section of this Privacy Policy and informing us you wish to access and/or correct your personal information.


Your request for access or correction of your personal information will be dealt with in a reasonable time and we may charge a reasonable cost for actioning your request. There are some exceptions specified by law, where we may refuse your request for access or correction. If we refuse your request, we will provide you with reasons for the refusal (unless it would be unreasonable to provide that notice).


Complaints


If you have any concerns whatsoever about our handling of your privacy and personal info or wish to make a complaint please contact us by emailing privacy@iprofile.org or write to us at 19A Selems Parade, Revesby, NSW, Australia, 2212 with your complaint.


We will address and investigate any concerns you have through our complaints handling process and endeavour to inform you of the outcome of your complaint within a reasonable timeframe. If, after receiving our response, you still consider that your privacy complaint has not been resolved, you may refer your complaint to the Australian Privacy Commissioner.

The new iProfile has turned around the fortunes of its predecessors in the first year of trading by posting a pre-tax profit for it’s first financial year. The company acquired the main assets of the now dissolved SkillsMarket in May 2011. To celebrate, iProfile have launched their new website and announced new strategic partnerships for the year ahead. Mark Callahan, Managing Director in the UK, who set up iProfile with Glen Perry, MD of iProfile in Australia, puts the success down to “a greater focus on our core value proposition to our clients, a simpler and more user-friendly product offering , plus a streamlining of our client implementation process. The company increased its client portfolio by adding 13 new clients in the last year, and now manages over 7 million online CVs/Resumes for candidates in multiple sectors. To further consolidate iProfile’s good fortunes it has created new alliances and partnerships with other organisations in the industry such as TEAM , the association of independent recruiters. Many in the recruitment sector have been waiting with interest to get some indication of iProfile’s prospects, following their acquisition from Skills Market Ltd earlier this year. Initial results, published this week have shown iProfile to be far more resilient than expected, with a raft of new signings, including Sterria, FDM, Optimum IT and Osirian. These results, together with the retention of 85% of pre-existing contracts, has shown iProfile to be very much alive and kicking, and quickly gathering momentum. Mark Callahan, managing director of iProfile says, “Since acquiring iProfile our focus has been on establishing a firm foundation from which we can grow, and reviewing how best to develop our software to increase the benefits to our customers. This is underlined by our most recent release due this month. We are also looking to increase penetration in the sectors we supply, starting with finance and banking. We a have number of current customers who are keen to work with us to expand the use of iProfile into this sector. The iProfile concept of recruiters benefiting by sharing data will work in any sector. It’s simply a question of demonstrating that we have a sufficient volume of candidates”. iProfile are currently in talks with several leading financial recruiters to grow their database of 5 million CVs.
